Step 5 of 9 · Setting up your associationDone in about 2 min(How long it takes to do this in Orchesi)

Ready-made messages for your members

Three messages to copy into your group chat or newsletter: the announcement, the message with the invite code and a friendly reminder.

With the right message at the right moment, members know exactly what’s coming and what to do. Copy the text, replace what’s in [brackets] and post it in the group chat or newsletter. When to send which message is in How to bring your members along to Orchesi.

The messages are written for the invite code. That’s what we recommend. You post one message with the code in the group chat you already have. Members create their own account, and you put them in the right group and section as you approve them. See The easiest way to invite all your members.

Rather invite by email? The messages for that are at the bottom.

1. The announcement (two weeks ahead)

Hi everyone! From [date] we’re using Orchesi for our schedule, sign-offs and sheet music. No more scrolling through the group chat: you see at a glance what’s planned, you can say you can’t make it with one tap, and your sheet music is always at hand.

Orchesi is free for members and works on your phone and on your computer. Around [date] we’ll post a code here that lets you join in a few minutes. Questions? Feel free to ask [name of ambassador or board member].

2. The message with the code (on the switch date)

You’ll find your code under Members. Tap + in the app, or click Add Member in the web app, and choose Invite Code. Put it where it says [code].

Here we go! From today our schedule, sign-offs and sheet music are in Orchesi.

Download the Orchesi app from the App Store or Google Play and create an account. Choose which instrument you play along the way. Then enter our code: [code]

I’ll approve your request and you’ll see our rehearsals straight away. No smartphone? It works on a computer too, at orchesi.app.

Step-by-step help: https://help.orchesi.com/members/getting-started/join-your-association/

Rather do it together? At the rehearsal on [date], [names] will be there to help.

Whoever enters the code then shows up under Members, in Requests. Approve requests quickly. Until you do, a member sees nothing of your association yet.

3. The reminder (after about four days)

Preferably send this one personally, to the members who aren’t in yet. That works better than a message to everyone. The Members page shows who’s already in.

Hi [name], I noticed you’re not in Orchesi yet. With the code [code] from the group chat you can join in a few minutes. The code is still valid. Can’t get it to work? Let me know and we’ll help you at the next rehearsal.

Inviting by email after all?

Are you sending invitations by email or importing your member list? Then members get an email from Orchesi with a link. In the announcement, say an invitation by email is on its way, and use these two messages instead of messages 2 and 3.

On the day you send the invitations:

Today you received an email from Orchesi with an invitation to [association name]. Open the email, tap the link and create your account. It takes a few minutes. The invitation is valid for 7 days.

Didn’t see the email? Check your spam folder. Step-by-step help: https://help.orchesi.com/members/getting-started/join-your-association/

Rather do it together? At the rehearsal on [date], [names] will be there to help.

After about four days, to anyone who isn’t in yet:

Hi [name], I noticed you’re not in Orchesi yet. The invitation is in your inbox (check your spam folder too) and is valid until [date]. Can’t get it to work? Let me know and we’ll help you at the next rehearsal.

Tip: put the link to the help center for members in your group chat’s description too. That way members can always look up how something works themselves.
